What your AI needs to know before it answers a customer

A useful checklist for prices, hours, policies and handoffs.

Start with decisions customers make

List your services or products with the correct names, prices and any conditions. A price from a quotation is different from a fixed price. A deposit is different from the full amount. Make those distinctions explicit in your business knowledge. Add opening hours, special closures and how to reach your team.

Make exceptions easy to find

Write down cancellation rules, booking requirements and the situations your team should handle. For a repair business this might be a diagnosis or a custom estimate. For a clinic it includes clinical questions. An assistant should explain the administrative process without guessing a professional answer.

Test the awkward questions

Try a missing price, a holiday, a corrected date and a request for a discount. Check that the assistant keeps unknown information unknown and follows your handoff preferences. Repeat these checks when important business details change.
